Long-Distance Moving Checklist: 30-Day Countdown

4 Weeks Before: Research & Book
Four weeks out is your launch pad. Start by getting at least three written quotes from licensed long-distance movers. For interprovincial moves within Canada, verify the company is registered and insured. For cross-border moves to the US, confirm they hold a valid USDOT number and have customs brokerage capabilities.
This is also the time to declutter aggressively. Every kilogram you eliminate saves money on a long-distance move—especially over routes of 1,000 km or more. Sell, donate, or recycle items you haven't used in the past year. Measure large furniture pieces and compare them against floor plans of your new home to avoid shipping items that won't fit.
Begin gathering important documents: birth certificates, passports, medical records, school transcripts, and insurance policies. Create a dedicated moving folder (physical or digital) to keep everything in one place. If you're changing provinces, research the timeline for health card and licence transfers at your destination.
2–3 Weeks Before: Packing & Admin
Start packing non-essential rooms first—guest bedrooms, storage areas, seasonal items. Label every box with its contents and destination room. For long-distance moves, use colour-coded labels or a numbered inventory system so you can quickly verify all boxes arrive at the other end.
Handle administrative tasks: forward your mail through Canada Post (or set up USPS forwarding for US moves), notify your bank, insurance companies, and subscription services of your address change. Cancel or transfer utilities—Hydro-Québec, internet, gas—and set up accounts at your destination. If you're moving to a new province, start the health card application process online where available.
1 Week Before: Final Preparations
Confirm every detail with your moving company: pickup date, estimated delivery window, payment method, and emergency contact numbers. Pack an essentials box or suitcase with items you'll need immediately upon arrival—toiletries, medications, phone chargers, a change of clothes, important documents, basic tools, and snacks.

Defrost and clean your refrigerator at least 24 hours before moving day. Drain garden hoses, disconnect appliances, and disassemble furniture that won't fit through doorways intact. Take photos of electronics setups (TV cables, computer wiring) so you can reassemble them easily at your new home.
Moving Day & First Week After
On moving day, do a complete walkthrough of your home before the truck leaves. Check every closet, cabinet, and storage area. Read and understand the bill of lading before signing. Note any pre-existing damage to furniture on the inventory sheet.
After arrival, inspect all boxes and furniture against the inventory list before signing the delivery receipt. Report any damage within the timeframe specified in your moving contract—typically 24 to 72 hours for visible damage. Unpack essentials first, then work room by room. Update your address with the CRA, voter registration, and any remaining accounts. Welcome to your new home.
